1. DEFINITIONS {#definitions}

“Booking Fee/Deposit” means the non-refundable payment required to secure your booking.
“Balance Payment” means the remaining amount due after the deposit.
“Package” means the specific service level selected (Essential, Classic, Premium, or Bespoke).
“Hire Period” means the contracted duration of vehicle hire as specified in your booking confirmation.
2. ACCEPTANCE OF TERMS {#acceptance}
2.1 Agreement to Terms

3. BOOKING PROCESS {#booking}
3.1 Making a Booking
To secure our services:

Step 2: Quote
- We will provide a written quote within 48 hours
- Quote is valid for 14 days from issue date
Step 3: Confirmation
- Accept the quote in writing (email acceptable)

Step 4: Deposit
- Pay the booking deposit to secure your date
- Booking is not confirmed until deposit is received
Step 5: Final Details
- Provide final details 4 weeks before wedding date
- Confirm pickup times, locations, and special requirements
3.2 Booking Confirmation
We will provide written confirmation including:
- Vehicle(s) booked
- Wedding date and hire period
- Pickup and drop-off locations
- Package selected and price breakdown
- Payment schedule

3.3 Provisional Bookings
- We may hold a provisional booking for up to 7 days
- Provisional bookings must be confirmed with a deposit within this period
- Unconfirmed provisional bookings will be released
3.4 Availability
- All bookings are subject to vehicle availability
- We recommend booking 6-12 months in advance
- Peak season (September-April) books quickly
- We operate on a first-paid, first-served basis
4. PAYMENT TERMS {#payment}
4.1 Deposit Payment

4.5 Pricing
- All prices quoted are in Australian Dollars (AUD)
- Prices include GST (where applicable)
- Quoted price is guaranteed once deposit paid
- Additional charges may apply for:
- Extra hours beyond package
- Additional kilometers beyond package limits
- Additional services or special requests
- Travel to regional/remote locations
4.6 Additional Charges
Overtime: $[Amount] per 30 minutes (billed in 30-min increments)

4.7 Invoicing

5. CANCELLATION & REFUNDS {#cancellation}
5.1 Cancellation by Client
Notice Period and Refund Structure:
More than 6 months before wedding:
- Deposit forfeited (non-refundable)
- Balance refunded 100%
- Option to transfer to new date (one-time only, subject to availability)
3-6 months before wedding:
- Deposit forfeited
- 50% of balance refunded
- OR transfer to new date within 12 months (subject to availability + $[X] admin fee)
1-3 months before wedding:
- Deposit forfeited
- 25% of balance refunded
- No date transfer option
Less than 1 month before wedding:
- No refund (full payment forfeited)
- We may attempt to re-book the date
- If successfully re-booked, 50% refund of balance (less admin fees)

5.2 Postponement/Date Change
First Date Change:
- Permitted once without penalty if more than 3 months notice
- Subject to vehicle availability on new date
- Price difference may apply for new date (if in peak season)
- Admin fee of $[Amount] applies
Subsequent Date Changes:

- Subject to availability
- Must be within 12 months of original date

Less than 3 months notice:
- Treated as cancellation and re-booking

5.3 Cancellation by Us
We reserve the right to cancel your booking if:
With Full Refund:
- Vehicle becomes unavailable due to mechanical failure
- Chauffeur illness/emergency (and no suitable replacement available)
- Force majeure events (see Section 10)
- We cease trading
In these cases, you will receive:
- Full refund of all payments made
- Reasonable assistance finding alternative transport
- No liability for consequential losses
With No Refund (Client Breach):
- Non-payment of balance by due date
- Provision of false information
- Breach of these terms
- Threatening or abusive behavior toward staff
5.4 No-Show Policy
If you fail to be at the agreed pickup location:
- We will attempt to contact you for 15 minutes
- After 15 minutes, the hire period commences
- No refund will be provided
- Hire time will not be extended
5.5 Refund Processing
- Refunds processed within 14 business days
- Refunded to original payment method
- You will receive written confirmation
6. VEHICLE HIRE TERMS {#vehicle-hire}
6.1 Hire Period
Start Time: Agreed pickup time as per booking confirmation
End Time: Agreed drop-off time or end of contracted hours
Flexibility: We allow reasonable flexibility (up to 15 minutes) without charge
Extensions:
- Must be arranged in advance where possible
- Subject to availability and subsequent bookings

6.2 Kilometer Allowance

Not Permitted:
- Permanent or adhesive decorations

6.6 Vehicle Substitution

- The booked vehicle becomes unavailable due to breakdown
- Safety concerns arise
- Force majeure events occur

- You will be notified as soon as possible
- We will offer closest equivalent from our fleet
- Price adjustment if substitute is of lesser value
- Option to cancel with full refund if substitute is unacceptable
6.7 Weather Considerations
Convertible/Open Vehicles:
- Weather protection is available for all convertibles
- Final decision on roof up/down made on the day based on weather
- We will consult with you where possible
- Client safety is paramount
Inclement Weather:
- Services proceed in rain unless dangerous
- Umbrellas provided
- We cannot guarantee dry conditions for photos
- No refunds for weather conditions
7. CHAUFFEUR SERVICES {#chauffeur}
7.1 Professional Chauffeur Included
All packages include:
- Experienced, licensed professional chauffeur
- Formal attire (suit and tie or uniform)
- Courteous and professional service
- Knowledge of local routes and venues
- Assistance with dress/suit as needed
- Door opening service
- Red carpet service (where included in package)
7.2 Chauffeur Instructions
- Our chauffeur will follow your agreed timeline
- Reasonable adjustments can be made on the day
- Chauffeur has discretion on safety matters (routes, parking, timing)
- Chauffeur will not exceed speed limits or drive dangerously
7.3 Communication
- Primary contact number provided in booking confirmation
- Chauffeur’s mobile number provided 48 hours before wedding
- Emergency contact available 24/7 on Special Day
7.4 Gratuities
- Gratuities (tips) are not included in the hire price
- Entirely at your discretion
- Typically 10-15% if you wish to show appreciation
- Can be added to final payment or given directly to chauffeur
8. CLIENT RESPONSIBILITIES {#client-responsibilities}
8.1 Information Provision
You must provide:
- Accurate wedding date and times
- Correct pickup and drop-off addresses
- Venue contact details
- Timeline of events
- Any special requirements or access issues
- Emergency contact numbers
- Final guest count (if relevant for vehicle selection)
Deadline: Final details must be provided 4 weeks before wedding date
8.2 Timings and Punctuality
- You must be ready at agreed pickup time
- Delays may result in reduced hire time or overtime charges
- We cannot guarantee schedule adjustments on the day
- Please build buffer time into your schedule
8.3 Vehicle Capacity
- You must not exceed stated passenger capacity
- Seating capacity:
- Jaguar XK120: 2 passengers
- MG A: 2 passengers
- VW Kombi: 6 passengers (including driver area if arranged)
- Range Rover Classic: 5 passengers
8.4 Behavior and Conduct
You and your guests must:
- Treat the vehicle and chauffeur with respect
- Not smoke in or near the vehicles
- Not consume excessive alcohol before or during hire
- Not engage in illegal activities
- Follow chauffeur’s reasonable instructions
- Not damage the vehicle
8.5 Prohibited Activities
Strictly forbidden:
- Smoking in vehicles (penalty: $[Amount] cleaning fee)
- Illegal drugs or substances
- Excessive alcohol consumption leading to intoxication
- Throwing confetti/rice inside the vehicle
- Standing through sunroof while vehicle is moving
- Any activity that may damage the vehicle

8.6 Venue Access
You must:
- Confirm vehicle can access your ceremony/reception venues
- Advise of any access restrictions (narrow streets, gates, security)
- Obtain necessary permissions for venue access
- Inform us of any parking restrictions or fees
8.7 Photography
- Reasonable time allowed for photography (as per package)
- Extended photo time must be pre-arranged
- We allow your photographer/videographer to film the vehicle
- Please ensure photography doesn’t delay schedule excessively
9. LIABILITY & INSURANCE {#liability}
9.1 Our Insurance
- All vehicles are comprehensively insured

9.2 Our Liability

- Consequential losses (lost photography opportunities, delayed ceremony, etc.)
- Force majeure events (see Section 10)
9.4 Client Liability
You are liable for:
- Damage to vehicle caused by you or your guests
- Cleaning costs for excessive mess, stains, or odors
- Any fines incurred due to your actions (parking, traffic violations)
- Costs arising from prohibited activities
- Loss of income if vehicle cannot be used for subsequent bookings due to your damage
Potential Charges:
- Interior cleaning: Up to $[Amount]
- Exterior damage: Cost of repair + loss of income
- Smoking in vehicle: $[Amount] minimum
9.5 Third-Party Claims
We are not responsible for claims arising from third parties, including:
- Other vendors (photographers, venues, etc.)

9.6 Breakdowns and Mechanical Issues

- We maintain all vehicles to highest standards
- Backup vehicle will be provided where possible

10. FORCE MAJEURE {#force-majeure}

Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including:
- Natural disasters (floods, bushfires, earthquakes, storms)
- Pandemics or public health emergencies
- Government restrictions or lockdowns
- Terrorism or civil unrest
- Industrial action or strikes
- Road closures or infrastructure failure
- Acts of war
10.2 Force Majeure Procedure
If we cannot provide services due to force majeure:
- We will notify you as soon as reasonably possible
- We will attempt to provide alternative solutions
- You may choose:

- Option B:Â Full refund of all payments made
We are not liable for any consequential losses resulting from force majeure events.
10.3 COVID-19 Specific Terms
In the event of:
- Government-mandated lockdowns preventing weddings
- Venue closure due to public health orders
- Border closures preventing service delivery
You may:
- Postpone to a new date within 24 months (no penalty)
- Receive full refund of all payments
- Hold deposit as credit for future booking (no expiry during pandemic restrictions)
11. COMPLAINTS & DISPUTES {#complaints}
11.1 Our Commitment
We are committed to providing exceptional service. If you’re not satisfied, we want to know.
11.2 Complaints Procedure
